JOB SUMMARY

Under the general supervision of the Police Sergeant, performs advanced administrative work in the management and coordination of the Department’s accreditation program.  Work includes, but is not limited to, reviewing, interpreting, and implementing amended and/or new accreditation standards and determining how to author and integrate policy into the Department to remain compliant with the Commission for Florida Law Enforcement Accreditation (CFA) standards.  Data gathering plays an important role in many of the processes carried out in this position.

ESSENTIAL JOB FUNCTIONS: 

  • Identifies, implements, and manages all processes associated with accreditation and re-accreditation; independently and with minimal supervision, ensures timely compliance each cycle year with standards developed by state and national accrediting bodies, as applicable, and any legal updates; assures the Police Department complies with and maintains accredited status;
  • Maintains current information on accreditation standards and the interpretation and application of said standards through active participation with the appropriate accrediting bodies and professional associations;
  • Analyzes, evaluates and maintains documentation showing proof of compliance to corresponding accreditation standards; ensures accreditation files and records are accurate and up-to-date; conducts research and gathers data necessary to administrative or management studies related to accreditation;
  • Conducts inspections and audits to ensure adherence to prescribed policies, procedures and accreditation standards, as directed by the Chief of Police or designee; guides and assists staff in resolving quality assurance and accreditation non-compliance issues; assumes lead role in preparation for mock and on-site accreditation assessments;
  • Assists with the writing, review and timely dissemination of all new and revised policies; assists in the implementation of procedural, administrative, and/or operational changes based on CFA standards and best practices or industry trends;
  • Interacts and communicates with various groups and individuals such as the Chief of Police, other Department supervisors, Village personnel, attorneys and other local, state, and federal law enforcement agencies;
  • Represents the Department, in conjunction with the Chief of Police, or designee, at various meetings and conferences regarding accreditation; serves on accreditation-related committees and boards; serves as the Department liaison regarding all accreditation-related efforts;
  • Participates in and delivers appropriate training to Department personnel on commission standards, the accreditation process, standard operating procedures, changing laws and requirements, new programs and initiatives and emerging industry trends; and
  • Performs other duties as assigned.

MINIMUM REQUIREMENTS TO PERFORM WORK:

  • High School Diploma or G.E.D.;
  • Requires two years of experience; OR
  • Any combination of training, education and/or certification that provides the required skills and knowledge of best practices in accreditation;
  • Accreditation Manager certification from the Commission for Florida Law Enforcement Accreditation (or must be able to obtain within one (1) year of hire);
  • Working knowledge of PowerDMS policy management Software (preferred);
  • Working knowledge of Spillman Technologies records management software (preferred);
  • Must have the legal right to work in the United States;
  • Possess, or be eligible to obtain a valid Florida Driver’s license and have an acceptable driving record;
  • Have never been convicted of a felony;
  • Have never been convicted of a misdemeanor involving moral turpitude;
  • Have received an honorable discharge from any of the armed forces of the United States. 

Knowledge, Skills and Abilities:

  • Proficiency in the use of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, and Access); ability to navigate through other specialized software operating in a Windows environment;
  • Extensive knowledge of the CFA standards and processes as well as the CFA’s “best practices” for electronic record-keeping and proof maintenance procedures;
  • Knowledge of methods and techniques used in research; compiling, sorting, evaluating and analyzing data and theoretical information;
  • In-depth knowledge of law enforcement principles and organizational structure; ability to articulate, demonstrate and train others concerning current laws, standards, policies and procedures;
  • Knowledge of modern office practices and procedures, including the use of general office equipment;
  • Excellent organizational skills for the management of time-sensitive standards, proofs and filing of electronic and paper files;
  • Skill in working independently and following through on assignments with minimal direction;
  • Skill in adapting to changing work environment, competing demands, delays, and/or unexpected events;
  • Skill in communicating both verbally and through expository writing;
  • Ability to manage multiple priorities to ensure that deadlines are met;
  • Ability to maintain sound judgment and maintain confidentiality regarding critical and sensitive information, records and reports;
  • Ability to establish and maintain effective working relationships with supervisors and peers.

PHYSICAL DEMANDS:

The physical demands described below are representative of those that must be met by the employee to successfully perform the essential functions of this job:

  • Speak, understand, read, and write English;
  • Ability to exert light physical effort in sedentary to light work;
  • Ability to lift, carry, push, pull or carry objects of moderate weight (up to 25 lbs.);
  • Stand, walk, balance, stoop, twist, kneel, crouch, reach, as necessary;
  • Good manual dexterity and hand-eye coordination to operate and/or utilize standard equipment;
  • Frequently sitting for extended periods at a computer workstation;
  • Visual acuity for reviewing preparing and maintaining written documents and digital files; and
  • Hear sufficiently to perceive information at normal spoken word levels.

SPECIAL REQUIREMENTS:

The Accreditation Manager must maintain professionalism, courtesy, and composure at all times, including emergency and high-stress situations.

Essential employees may be required to work during a declared emergency.  The employee’s Department Head will determine who will be required to work.
