Job Description:

JOB SUMMARY

This position is responsible for providing administrative support relative to the needs of the Code Compliance Department. An incumbent in this position provides specialized administrative and clerical support for the department; may perform other duties as assigned.

ESSENTIAL JOB FUNCTIONS:      

  • Performs a variety of responsible administrative support duties relative to the needs of the Code Compliance Department;
  • Mails invoices and accepts and processes payments for Business Tax Receipts on an annual basis.
  • Maintains records of annual memberships for staff including F.A.C.E. certification;
  • Coordinates monthly Code Board Hearings, prepares agenda and notices of Hearing, attends hearing and transcribes minutes for distribution to Board Members;
  • Enters department staff time for payroll processing;
  • Answers telephone calls and directs to appropriate staff;
  • Processes requests from attorneys, title companies and residents regarding property liens;
  • Prepares and maintains department files;
  • Performs lien searches as requested by the Finance Department;
  • Prepares and submits invoices for payments;
  • Processes credit card and check payments for Code violations and Business Tax Receipts;
  • Responds to residents regarding violation notices etc.;
  • Maintains inventory of office supplies;
  • Records and mails enforcement orders and release of liens to Miami–Dade County;
  • Performs other duties as required and assigned.

MINIMUM REQUIREMENTS TO PERFORM WORK:

  • High School diploma or G.E.D;
  • One year of experience as an administrative assistant or secretary;
  • Must be computer literate;
  • Or equivalent training, education, and/or experience; and
  • Valid State of Florida Driver’s License.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Excellent interpersonal skills, including the ability to relate to all levels of staff, management and the public;
  • Acts as a representative of the Village to the public;
  • Working knowledge of department practices and procedures;
  • Effectively and efficiently organize and track department records;
  • Maintain confidentiality;
  • Working knowledge of Microsoft Office Suite;
  • Ability to multi-task and prioritize work;
  • Ability to establish and maintain effective working relationships with other employees, Village officials and the general public, with tact, courtesy and patience;
  • Ability to communicate effectively with others.

PHYSICAL DEMANDS:

Work requires no unusual demand for physical effort.

WORK ENVIRONMENT:      

  • Must be physically able to operate various items of office-related equipment, such as, but not limited to computer, calculator, telephone, copier, and facsimile machine etc. 
  • Work is sedentary and involves standing, walking, lifting, stooping for short periods of time. 
  • Must be able to lift and/or carry wrights of up to ten pounds
