Job Description:

JOB SUMMARY

Under the general supervision of the Public Works Director, provides specialized administrative and clerical support for the department; may perform others duties as assigned.  This is a non-exempt position and reports to the Public Works Director.

 

ESSENTIAL JOB FUNCTIONS:      

  • Functions as the administrative assistant and secretary to the public works director;
  • Interprets departmental administrative policies and procedures as directed;
  • Types correspondence, transcribes documents, memoranda, reports, records, purchase orders and other department documents;
  • Performs public relations duties such as greeting and meeting with the public, Village officials, other staff, and distributing informational materials and answering questions;
  • Schedules appointments and maintains calendars;
  • Opens and sorts departmental mail, maintains accounting, payroll, and other bookkeeping records;
  • Develops and maintains office filing system, and assists with departmental budget preparation;
  • Maintains official files and records, and makes travel arrangements for designated staff; and
  • Performs other duties as assigned.

    PHYSICAL DEMANDS:

    Must have the use of sensory skills in order to effectively communicate and interact with other employees and the public through the use of telephone and personal contact as normally defined by the ability to see, read, talk, sit, stand, hear, hands to fingers dexterity, handle, feel or operate objects, read and write English,   Physical capability to effectively use and operate various items of office equipment; such as but not limited to a personal computer, calculator, copier and fax machine.  Must be physically able to operate a variety of machinery and equipment including computer, calculator, telephone, copier, and fax machine, etc.  Must be able to exert up to thirty pounds of force occasionally and/or up to ten pounds of force frequently, and/or a negligible amount of force constantly to move objects.  Work involves moving, and bending for short periods of time.  Must be able to lift and/or carry weights of up to ten pounds.

     

     

    WORK ENVIRONMENT:     

    Work environment involves everyday risks or discomforts which require normal safety precautions typical of such places as offices or meeting and training rooms, e.g., use of safe work place practices with office equipment, avoidance of trips and falls, and observance of fire and building safety regulations.

     

    MINIMUM REQUIREMENTS TO PERFORM WORK:

    • High school diploma or G.E.D;
    • Five years of experience as an administrative assistant or secretary;
    • Or any equivalent training, education, and/or experience;
    • Must have good typing and computer skills; and
    • Valid State of Florida Driver’s License.
